Taking time off is important! We imagine that this puppy would really perform at work after his vacation…

Paid vacation days are days for which an employee is paid when they take time off from work. We provide paid time off to employees as a benefit, to provide longer periods of time for employees to rest and recuperate outside of work.

 

An ultiMATE is entitled to 28 vacation days, no matter where they are.

Holiday Year

The Holiday Year in Germany is 01 January - 31 December.

Your vacation days renew at the end of each Holiday Year.

The Holiday Year in Finland is 01 April - 31 March.

Your vacation days renew at the end of each Holiday Year.

Rolled-over unused vacation days

For Germany based employees, any unused vacation days can be rolled over and used up until 31 March in the following year. After this time they expire.

 

You can roll over 10 vacation days not taken to the new Holiday Year. Any remaining vacation days not taken and not rolled over expire and are reimbursed at your salary rate at Holiday Year end. 

Special leave (in German: Sonderurlaub)

  • Child birth: 1 day

  • Death/ Funeral of a close family member: 2 days

  • Work-related house moving to another city: 1 Tag

  • 25th and 40th work celebration: 1 Tag

  • Critical sickness of another person in household: 1 day/ year

  • Critical sickness of children who are older than 12 years old: up to 4 days per year

  • Wedding: 1 day

  • Death/ Funeral of a close family member: 1 day

Accrued vacation days

While you can use the full amount at any time, vacation days accrue on a monthly basis. In your first year of employment, you will be entitled to vacation days relative to the remaining portion of the Holiday Year. Likewise in your final year of employment, you are entitled to vacation days relative to the portion of the Holiday Year worked. If days excess to entitlement have been taken, their value may be deducted from your final payslip.

Christmas period

Christmas week is a quiet period as most clients and team members are off on holiday. Depending on your manager’s requirements, you may be asked to take this period off as holiday if there is no anticipated work to be done. 

How to use vacation days

  • Confirm with your manager in advance if the requested days you wish to take do not conflict with the team needs

  • Book the days via absence.io; wait for your manager to approve the days

  • Update your Google Calendar with the days off

  • Set up a vacation email response if you are in a client-facing position

  • Enjoy your holiday!

Sick leave

As in the contract, the employee can take 5 days of sick leaves one after another. After the fifth day, if the sick leave period is to be continued, please email the People team the writing from your doctor at people@ultimate.ai

Sick leaves can be booked via absence.io. Please try to inform your manager about your sick leaves asap.

For people with children under the age of 12: In 2021, parents can take max. 20 sick leave days per children when their children fall ill.

DURING YOUR FIRST YEAR: Theoretically, you will earn vacation day as you go (pro rata)

However, you can also take more vacation days than you are entitled to. In the very unlikely event that this happens and you leave the company during the probation period, we will have to deduct the difference in your pay check.
