It means that we are neither remote-friendly (“just tolerates remote working and not actively support it”) nor fully-remote (“having no official physical office”): Remote-first means that we organize ourselves in a way that makes remote work natural and normal, by building remote work into the very DNA of our business. 

We do this because we value trust. We want to work with great people who are motivated and empowered to do their best work. We fundamentally believe that this means offering people flexibility and autonomy so they are able to work on their terms, as much as they can.

Ultimate has always been a remote company: We have operated from Berlin and Helsinki and our entire workforce has never been physically at the office at the same time. In fact, being remote and its flexibility have always been listed as our people’s most favourite thing about our company! Not only this is oh-so-beneficial for our employees who have enjoyed the flexibility to balance their work and life, it has proven to be tremendously advantageous for the company: Happy Employees, Happy Company, Happy Clients!

When you start at ultimate.ai , before your onboarding, you will be asked to choose your own adventure (remote-first or office-first). Please use this page as the source of information to make that decision! (smile) For any question, we are happy to help.

What does this mean for you as a candidate? 🤓

  • The majority of our positions can be done remotely. Only in certain particular cases (e.g. Office Manager or IT Support), the position has to be on-site, this will be noted in our job ads.

  • Contract-wise: There are a few options how we could employ you (via Employment contract, a B2B contract or EOR)

What does this mean for you as an ultiMATE? 🤓

  • At Ultimate, you could choose between being a remote-first 🏖 or office-first ??

remote-first ultiMATE🏖

  • primarily works at a remote location at least 3 days a week on average.

  • will be allocated a Home Office Budget up to 300EUR from their Personal Development Budget to be spent on either Home Office or a co-working space.

  • is encouraged to go to our physical offices and will be allocated hot desks.

  • is responsible to ensure that they have a safe and reliable conditions for work (e.g stable internet connection)

office-first ultiMATE 🏯

  • Primarily works from an Ultimate office at least 3 days a week on average.

  • have a permanent work station at the office but still have the access to 150EUR Home Office Budget from their Personal Development Budget.

  • You will be asked to choose your own adventure aka either remote-first or office-first after you have signed the contract (smile)

Some FAQ 🧐

titleCan office-first employees work from home any day of the week?

Yes, you are free to decide which days you want to work from the office and which days you want to work from home. Generally office-first means working from the office most days, but choosing to work from home 1-2 days a week is completely fine and does not require approval from your manager.

titleCan office-first employees decide to work remotely for a longer period? 

Yes, but first you need to agree with your manager on the time period. Your manager may decline the request if the remote work would negatively impact the progress of your tasks and projects. One way to avoid this is to give your manager enough notice for the request, so the team can plan appropriately.

titleWill Ultimate purchase home office equipment for remote-first employees?

Every employee will receive the same onboarding package from Ultimate, delivered to wherever you’ll be starting on your first day. This onboarding package includes all of the equipment needed to fulfil your work, such as a laptop, up to 2 monitors, keyboard, mouse and adaptors. 


Any purchases from the Home Office Budget are to be carried out independently by the remote-first employee. Receipts can then be submitted for reimbursement via Expensify Spendesk and will be deducted from your Personal Development Budget. Remote-first employees are free to reimburse whatever is needed to equip them to work well remotely, including items such as a working desk, a chair, a stand-up table, desk lighting.

titleCan you change between being remote-first and office-first?

Yes, Is it possible to change between the two options if it is physically possible (i.e. the employee lives within commuting distance of an Ultimate office). Changes are limited to only once per year and require approval from your manager. Change requests can be declined by the People Team in case it requires contractual changes or requires to switch to dual taxation.

titleDo I need to maintain certain working hours?

At Ultimate, we value the impact you bring, not the hours you work. You are flexible to start and finish work whenever you want, provided that you are fully responsive, engaged and reliable to the needs of our team, customers and stakeholders. Working from a remote location with a significant time difference is not recommended, as it can negatively impact collaboration with the team and/or clients.

titleCan I work remotely while travelling abroad?

Yes, you can travel to another location and work remotely. Here are the conditions of working from abroad:

  • You need to agree with your manager at least 2 weeks prior to your travel and ensure the remote work will not interfere with your work continuity.

  • Prior to your travel, you need to notify the People Team (people@ultimate.ai) and inform them where you are going and for how long. This is to ensure your employment is protected from an insurance and legal standpoint. (There are legal requirements that we need to comply with, so please make sure to consult with the People Team)

  • You are responsible to ensure the conditions are suitable for you to work; including a stable internet connection and a quiet environment with no distractions. 

  • You are responsible for your own health and accident insurance while you travel.

  • You are fully responsible for loss and damage of any company equipment.

  • The time difference is not more than +/- 3 hours.

  • Please remember, working remotely from an off-site location is not a vacation.

 

Your manager may decline your request if:

  • The travel would negatively impact the completion of tasks or projects

  • The time difference would make the collaboration difficult between you and your team
